Touchless signing with MOXIS: Companies that use electronic signatures for internal processes are always faced with the challenge of integrating signature processes with external persons into their workflows, even in strict compliance with their security regulations and data governance requirements.

 

The MOXIS instance MEQA (MOXIS External Quick Sign Application) responds to this need: Only the documents in question leave the company for signing, but the external signers do not have access to the company's MOXIS environment.

"With MEQA, we have responded to the security requirements of many of our customers who exchange documents with customers or partners on a daily basis," says Andreas Koller, CEO XiTrust Germany. "The person subject to signing does not need an own MOXIS account for the external signature, but can view the document and sign it legally by being inviting via a link by e-mail." The versatility of MOXIS is reflected in MEQA as well, because it is also optionally possible to sign directly at the point of sale.

 

Own platform

The MEQA instance stands for its own software platform whose architecture is separate from MOXIS. Access to the company's internal system is no longer necessary for this purpose; signatures in all qualities from qualified electronic signatures to simple approval are supported by MEQA: External qualified electronic signatures (QES) are executed using the PIN-TAN procedure. In compliance with the eIDAS regulation of the EU, electronic signatures can be executed in the quality of handwritten signatures. However, the legally highest form of electronic signature is not always necessary. For this, MEQA enables external signatur with a seal (SES). This can be thought of as a digital company stamp, which allows documents to be considered authentic. Data integrity and authenticity are maintained at all times in both variants.

The procedure is kept as simple as possible. In the first step, the client creates the request for signature in MOXIS. For this purpose, the decision levels are first defined, i.e. who signs in which order and which signature quality. After the placeholders have been applied, the request is finally sent. In the second step, the external signer receives an invitation by e-mail with a link. Nothing everything is set up for external signature.

 

All external signature use cases

In MEQA, the signature at the point of sale also takes into account the requirements in the end customer business, where handwritten signatures are increasingly being replaced by electronic ones. "In this variant, signers are independent of the end device and do not need a signature pad," explains Andreas Koller. This is made possible by a QR code that is called up directly in MOXIS touchless signing! When scanned, MEQA opens on the desired end device, which can be a tablet or a smartphone. Koller: "MEQA makes MOXIS a comprehensive tool for all external signature use cases."
